Sales tell you how much value moved through the shop. Profit asks a different question: after the costs connected with those orders are considered, what is left? That answer is an estimate until every relevant cost and adjustment has been recorded.
Start with settlement income, not the order value
Use the amount represented in your settlement records for the period you are reviewing. Keep the report period and payment status visible, because an order placed this week may be paid, adjusted or returned in another period.
Record the costs you control
- Product purchase or manufacturing cost
- Packaging materials and handling
- Advertising spend allocated to the period
- Return or RTO costs shown in your reports
- Other shop expenses you deliberately include in your operating view
A simple working estimate is settlement income minus recorded product, packaging, advertising, return-related and operating costs. Keep each cost attached to the correct shop and, where possible, the correct product.
Review products, not only the total
A healthy account total can hide a product with weak margins or expensive returns. Compare products using the same date range, then investigate large changes rather than assuming every difference is a problem.
A repeatable weekly check
- Confirm the shop and reporting period.
- Bring in the latest settlement information.
- Add missing product and packaging costs.
- Review advertising and return activity for the same period.
