A settlement report connects order activity with the money paid or expected. It is more useful than a sales total for reconciliation, but it still needs context: reporting period, payment status, adjustments and the shop that owns the record.
Begin with the report scope
- Confirm the seller shop before importing anything.
- Note the report type and covered date range.
- Separate paid, pending and future amounts if the report does.
- Keep the original file unchanged for later reconciliation.
Read an entry as a group of movements
An order line may sit beside fees, taxes, adjustments, returns or other movements. Do not assume the selling price equals the payout. Follow the identifiers and labels present in the report, and avoid combining unrelated rows merely because their dates match.
Reconcile in three directions
- Order record: does the order or suborder identifier match the product and shop?
- Settlement record: do the amount, status and adjustments belong to the period you selected?
- Bank record: does a completed payout correspond with the amount actually received?
Common causes of confusing totals
- Comparing order dates with payout dates
- Counting the same file or row more than once
- Mixing multiple shops
- Ignoring returns or later adjustments
- Treating a pending amount as money already received
- Missing product, packaging or advertising costs in the profit view
